Exhibitor Agreement

Along with registering your brand’s personnel, each exhibiting brand is required to submit an Exhibitor Agreement to secure their booth space. If you haven’t already done so, please contact your Q representative to complete this.

Booth Information

  • Exhibitor badges are required to be worn on the show floor and any other Frostbike function, and each brand is allowed two exhibitor badges for personnel. All exhibitor personnel must register for a badge by January 9.
  • Each booth space includes 8-foot pipe & drape, one unskirted 6-foot folding table, two chairs, basic Wi-Fi, and electricity.
  • Exhibitors that are interested in renting display materials for the expo are welcome to reach out to our show decorator directly: Please email Marissa Haeny at mhaeny@metroconnections.com
  • Exhibitors must provide their own display products. Procuring products from Q’s distribution center and subjecting them to wear and tear during Frostbike is very costly for Q and will not be an option for exhibitors. 
  • For Frostbike logo usage, please refer to the Frostbike Brand Standards Guide.

SHIPPING INSTRUCTIONS

Inbound Shipping Information:

  • Q will accept Frostbike shipments between February 2-20. Any shipment arriving before or after that date may be refused upon arrival.
  • All Frostbike shipments must include a completed Frostbike Shipping Label. Download the Frostbike Shipping Label here.
  • Q will not accept collect shipments. Shipments must be prepaid.
  • If you’re sending a shipment internationally to Frostbike, please ship your product prepaid with your freight forwarder and secure a Broker who can clear your goods on your behalf. Do not list Q as the imported of record (IOR).

Outbound Shipping Information:

  • All shipments will ship out from Q on Monday, March 2.
  • For Parcel shipments, please bring prepaid shipping labels with your parcel carrier of choice. Any outbound shipments from Q must be labeled with complete shipping information as per your shipping company’s requirements. Q will tender your boxes to the appropriate carrier for shipping the week following the event.
  • For LTL shipments, Q requires you to submit a bill of lading. These will be sent collect or third party to your company. You can provide this documents prior to Frostbike by scanning and emailing it to Q Transportation. If nothing is submitted, please stop by the transportation table in the expo on Saturday afternoon before expo strike. Q will schedule a pickup for your freight with your carrier of choice for March 2. Please note: Any materials/exhibitor shipments remaining at Q without a BOL will be returned and invoiced to the exhibitor.
  • If your materials need to be sent to an international location after Frostbike, please list your company as the exporter of record (EOR). Custom information, air waybill and freight forwarder documents must be scanned and emailed to Q Transportation by the end of the show.
  • A material safety data sheet (MSDS) proper packing, labeling and a 24-hour emergency contact number must be provided for any shipment containing dangerous goods, per Department of Transportation regulations. No boxes containing dangerous goods will be returned without the required information and paperwork. This includes but is not limited to lithium batteries, lubes, fuels, etc.

TRAVEL

Transportation to and from Minneapolis is the responsibility of the attendee. If you are flying to the event, you should plan to arrive at the Minneapolis St. Paul International Airport. Ground transportation to and from the Minneapolis St. Paul International Airport is the responsibility of the attendee.

Shuttles will be provided between Renaissance Minneapolis Hotel, The Depot and Q on a continuous loop on event days (February 27 and 28).

Getting to Q:

  • Our address is 6400 W. 105th Street, Bloomington, MN 55438
  • On Thursday, please park in Q’s parking lot.
  • On Friday and Saturday, Q’s parking lot will be reserved for retailers. Exhibitors should park in neighboring lots. Specific addresses for these lots will be provided in a future communication to exhibitors.

Q has secured a limited number of discounted rooms at the Emery, Autograph Collection and the Canopy by Hilton in downtown Minneapolis.
