Rates  

  • $149 - All room types (Single/Quad occupancy) 
  • PLUS TAXES: 13.45% occupancy tax, and $0.50 City BID fee, per room, per night 
  • Parking is an additional fee of $10.00 per night/per motorcycle or vehicle 

Room Types 

  • Traditional Queen/Queen - 2 Queen Beds. Accommodates up to 4 people.  
  • Traditional King - 1 King Bed. Accommodates up to 2 people.  

NOTE: Adding  a rollaway to a room would accommodate an additional 1 person to your  room. However, there is VERY limited availability for rollaways, so availability is not guaranteed. Rollaways can not fit in a King Room. 

3-Night Minimum Stay 
All members attending convention must stay a  minimum of 3 nights at the host hotel/over-flow hotel we have under  contract. As an attendee, you must either have a room booked in your  name or you must be listed as a roommate with another member who is staying at least 3 nights at one of the hotels we have under contract. It is expected, if you are listed as a roommate on someone’s reservation, that you are staying in the room at least 3 nights.

Please also notice: NOtrailers that are designed for the hauling of motorcycles are allowed  in any of the hotel parking lots. Please contact the Convention Coordinator-Susan Gibson if you  need an exemption from this policy. Hotel Cancellation Policy 
Motor  Maids convention registration cancellation policy is always in effect first. However, when  control of room reservations is turned over to the hotel, the hotel's  cancellation policy is that the room must be cancelled by 48 hours prior to arrival or the first night's room rate and taxes will be charged to your card as a no show fee.

Sheraton Springfield Hotel Pet Policy 
Our host hotel in Springfield will allow 1 dog per room. The dogs must be no larger than 40 pounds. All dogs are not to be left alone in a guest room at any point during the duration of your stay. There are a limited number of pet friendly rooms available at this hotel. 

Motor Maid Convention Pet Policy 
This policy has been in place since 2017 and clearly states expectations  regarding pets attending convention; including emotional support  animals. 

  • No  pets are allowed during any of our official convention activities.  Convention activities include any meetings, convention photos,  convention parade, Dot Robinson Road Run, guided rides, Red Ribbon  luncheon/breakfast,banquet, registration/check in, and any organized social  events or receptions. 
  • No  pets in any of the rooms assigned specific to convention- (raffle room,  hospitality, history room, meeting rooms, or meeting space assigned for  Red Ribbon luncheon/breakfast, receptions or banquet). 
  • It is your choice to bring your pet assuming the host hotel is “pet friendly”.  Keep in mind your pet will have restricted access to areas in the hotel  related to convention. If the hotel is pet friendly, then plan  accordingly with regards to your pet’s care and well-being when you are  busy participating in convention activities. 
  • If you do bring a pet, it must be kept on a leash when interacting with other convention attendees in public areas of the hotel—lobby, parking lot reserved for motorcycles, etc. 
  • We do not make any special concessions with the hotels under contract for  convention regarding their corporate pet policy. If there is a fee for housing your pet in the hotel room, then it is your responsibility to pay that extra expense.  Emotional Support Animals must follow the same guidelines as outlined above.

Travel Information

HELMETS 

  • FROM ANY DIRECTION YOU TRAVEL TO CONVENTION, YOU WILL BE FACED WITH VARIOUS LAWS REGARDING HELMET USE.   
  • ONLY TWO STATES DO NOT REQUIRE HELMETS. 
  • A MAJORITY OF STATES HAVE HELMETS REQUIRED FOR RIDERS UNDER 20 OR 18 OR 17.   
  • MANY STATES HAVE HELMETS REQUIRED FOR ALL RIDERS OF ALL AGES.   
  • REMEMBER, A HELMET IS REQUIRED FOR PARADE.

Directions to Hotel

From the south: 
I-91 N towards Springfield. Take exit 6 from I-91 N toward Springfield Center. Merge onto E Columbus Ave and then continue straight on E Columbus Ave for 0.6 miles. Turn right onto Boland way, and the destination is on your right. 

From the north: 
I 91 S toward Springfield. Take exit 7 toward W. Columbus Ave. Merge onto W. Columbus Ave. Use 2nd lane from left lane to turn left on Boland Way. .1 mile, destination is on your right.  

From the east: 
I-90 W. Continue for 86 miles to exit 51 for I-291, toward Springfield/Hartford Connecticut. Use the left two lanes to turn onto I-291 W. Use the 2nd from the left lane to take exit 1B-2B for I-91 N/US-20 W toward W. Springfield. Keep right to continue on Exit 2B, follow signs for Dwight St. Turn left onto Dwight St, then continue straight. Turn right onto Harrison Ave, and continue onto Boland Way. The destination will be on your left. 

From the west: 
I-90 E toward Taconic Pkwy, Boston. In 64 miles, take exit 45 to merge onto I-91 S toward Springfield. Keep left to stay on I-91 S. Take exit 7 toward downtown Springfield, Hall of Fame Ave. Merge onto W Columbus Ave, then use the left two lanes to turn left onto Boland Way, the destination will be on the right. 

Weather

The weeks surrounding the 4th of July are the busiest tourism times of the year in New England, so lodging can be scarce, with rates at a premium. Fireworks displays are held on the 4th and beyond, with several of the largest displays happening after the holiday. Check local Google maps or Waze for up-to-the-minute information regarding traffic and other issues on the roadways in our area. 

Coastal areas like Cape Cod are often crowded this time of year, but you may find some excellent adventures and best deals inland, particularly in the hills and mountains throughout New England, such as ski mountains, which try to attract out-of-season visitors with summertime activities and discounted rates. Mountain destinations have the advantage of staying cooler during July, so if you have the time, consider checking these areas out on your way to or from convention.  

New England Weather in July: 
New England's average temperatures in July hover in the mid-80s Fahrenheit, with lows dipping in the mid-60s Fahrenheit (and occasionally the 50s, depending on how far north you go). While the average temperature is in the mid-80s, be aware it is still July, and temps can soar into the 90s on a regular basis. Best to be prepared.
